Best Project Management Tools for Solo Founders (2026)

Every tool here has a free plan a solo founder can live on. The real difference shows up when you add your first contractor: Asana Free stops at 2 users, Linear Free stops at 250 issues, Notion Free limits blocks once you have 2+ members, while Trello Free allows up to 10 collaborators and ClickUp Free allows unlimited members and guests. Pick for the shape of your work: kanban, issues or docs.

Short answer: If you write code, start with Linear Free (or GitHub Issues) and move to Linear Basic at $10 per user per month once you pass 250 issues. If your work is mostly content, marketing and launches, a Notion board or Trello Free is enough. If you expect to bring in contractors soon and want to stay at $0, ClickUp Free and Trello Free are the most forgiving about extra people.

Every price and limit below comes from each vendor's own pricing page or repository, checked on 7 Nov 2026. The advice in between is ours and is marked as such.

Kanban, issues or docs: pick the shape first#

For a solo founder, the first question is what shape your work has. The tool that fits the shape is the one you will still open in three months.

  • Kanban (cards in columns). Good for a mixed bag of tasks: ship a feature, write a post, reply to a partner. Trello is the purest version.
  • Issues (a backlog with states, priorities and code links). Good when most of your work is software and bug reports. Linear and Plane are built for this.
  • Docs-as-PM (a database inside your notes). Good when planning and writing are the work: specs, launch plans, content calendars. Notion is the obvious one.
  • All-in-one (lists, boards, docs, goals, time tracking). Asana and ClickUp. More power, more setup.

Our read: one person rarely needs an all-in-one tool. The cost of a heavy tool is the hour a week spent maintaining it, not the subscription. If you are still choosing the rest of your stack, our SaaS tech stack for solo founders shows where a PM tool sits alongside hosting, payments and analytics.

Trello: the lightest kanban#

Free: up to 10 collaborators per Workspace, up to 10 boards per Workspace, unlimited Power-Ups per board, 250 Workspace command runs (automations) a month and unlimited storage with a 10MB per-file cap (Trello pricing).

Paid: Standard is $5 per user per month billed annually or $6 monthly, and adds unlimited boards, 1,000 command runs a month, 250MB files and single-board guests. Premium is $10 annually or $12.50 monthly and adds Calendar, Timeline, Table, Dashboard and Map views plus unlimited command runs.

What breaks with a contractor: not much at first. A contractor fits inside the 10-collaborator Free allowance. The limit you will hit sooner is 10 boards, and if you want a calendar or timeline view of a launch you need Premium.

Our read: Trello is the right pick if you think in cards and want to be set up in five minutes, and the wrong pick for a bug backlog tied to pull requests.

Asana: structure, but the free plan is for two#

Free (Personal): 2 users, unlimited tasks and projects, list, board and calendar views, unlimited storage at 100MB per file and 100+ free integrations (Asana pricing). Asana's comparison table describes the limit as "Up to 2 seats per project and team".

Paid: Starter is $10.99 per user per month billed annually, $13.49 monthly. It removes the seat limit and adds timeline and Gantt views, unlimited automations, unlimited free guests, forms, custom fields and reporting dashboards. Advanced is $24.99 annually, $30.49 monthly.

What breaks with a contractor: you plus one contractor is exactly two users, so that works on Personal. The second contractor, or a VA, pushes you to Starter. On Starter, Asana's "unlimited free guests" is the useful line for freelancers who only need to see their own tasks.

Our read: Asana suits client-style projects with dates and dependencies. For a one-person product, it is more structure than most people maintain.

Linear: the best issue tracker, with a 250-issue ceiling#

Free: $0, unlimited members, 250 issues, 2 teams and 10MB file uploads (Linear pricing).

Paid: Basic is $10 per user per month and Business $16, both billed yearly. Basic lifts you to unlimited issues, 5 teams and unlimited file uploads.

What breaks with a contractor: members are unlimited on every plan, so a contractor can join Free at no cost. The catch is guests: Linear's pricing table lists guest accounts as not included on Free or Basic, only on Business and Enterprise. So a contractor joins as a full member, and on Basic they are another $10 a month seat. Two people also reach the 250-issue cap faster than one.

Our read: if you build software, Linear is the best pure tracker here. Whether you need it over GitHub Issues is a separate question, covered in depth (code linking, cycles, AI agents) in Linear vs GitHub Issues for solo founders.

Notion: docs-as-PM#

Free: single-member workspaces can add unlimited pages and blocks. Once a Free workspace has 2 or more members, Notion says you can add "a limited number of blocks" before you have to upgrade. File uploads are capped at 5 MB each and page history is 7 days (Notion pricing).

Paid: the pricing page served to us showed GBP: Plus at £8.50 and Business at £16.50 per member per month, with "Save up to 20% with yearly". USD prices are selectable on the same page; check them there before you buy. Plus raises uploads to 5 GB and page history to 30 days. Notion AI is a limited trial on Free and Plus, with the fuller AI features listed on Business.

What breaks with a contractor: adding a contractor as a workspace member is what triggers the Free block limit. The workaround is to invite them as a guest to just the pages they need; Notion describes guests as free of charge and limited to the pages you invite them to. That keeps your workspace single-member, at least for a while.

Our read: Notion fits when the work is the writing: specs, a launch plan, a content calendar. A database with a board view and a "Status" property is a perfectly good kanban.

ClickUp: the most generous free plan on people#

Free Forever: unlimited members, and ClickUp's FAQ says "Free Forever Workspaces can have an unlimited number of members and guests at no charge". Limits are elsewhere: 60MB of file storage, 100 automation actions per workspace per month with 5 active rules, 5 Spaces, 3 whiteboards, and Gantt, Timeline, Workload and custom fields offered only as trial uses that do not reset (ClickUp pricing).

Paid: Core is $9 per user per month billed yearly (shown against a regular price of $12), with unlimited storage and Spaces, guest accounts and 1,000 automation actions a month. Business is $17 per user per month billed yearly. ClickUp's AI credits are shared across the workspace, with top-ups at $10 per 10K credits.

What breaks with a contractor: people do not cost you anything on Free. What breaks is storage: 60MB goes quickly once a designer starts attaching files, and the FAQ notes that attachments are the only thing counting against it.

Our read: ClickUp does everything, which is both its pitch and its problem for one person. It suits a founder who wants one free tool for tasks, docs and a few collaborators, with files kept in Drive or Dropbox.

Plane: the open source option#

Free: the cloud Free plan covers up to 12 users, with cycles, modules and pages included; active cycles, initiatives and dashboards are on paid plans (Plane pricing).

Paid: Pro is $6 per user per month billed annually. Business is $13 annually or $15 monthly. Pro lists 5 guests per paid member.

Self-hosting: Plane's code is licensed under AGPL-3.0 (GitHub), and its pricing FAQ says it "is open-source and can be self-hosted on your own infrastructure". The pricing page does not say whether the 12-user Free cap applies to self-hosted installs, so check Plane's docs for the edition you run.

What breaks with a contractor: nothing on cloud Free until you reach 12 users. On self-hosting, what breaks is your time: you own the upgrades and backups.

Our read: Plane is the pick if you want a Linear-style tracker and care about owning your data. If you would rather not run a server, its cloud Free plan is still a capable $0 tracker.

Worked example: you plus one contractor for a year#

This is illustrative arithmetic on the published prices above, assuming 2 seats on the entry paid plan with annual billing where shown. Your real bill depends on plan choice and billing period.

ToolCan you stay free?Entry paid plan, 2 seatsPer year
TrelloYes (10 collaborators)Standard: 2 x $5 = $10/mo$120
AsanaYes (exactly 2 users)Starter: 2 x $10.99 = $21.98/mo$263.76
LinearYes, until 250 issuesBasic: 2 x $10 = $20/mo$240

ClickUpYes (unlimited members)Core: 2 x $9 = $18/mo$216
PlaneYes (12 users)Pro: 2 x $6 = $12/mo$144

Our read: the first contractor costs $0 on almost any of these tools. You pay when you outgrow a structural limit (boards, issues, storage or blocks), not when you add the person. Before you invite anyone, our guide on how to hire your first contractor as a solo founder covers scoping, contracts and access.

Which one should you pick? (our advice)#

Your situationOur pick

Content, marketing and launch tasksTrello Free or a Notion board
You plan in long docs and specsNotion

You want to own the data and can run a serverPlane, self-hosted

How to set it up in an hour#

  1. Pick one tool and one board or project. A solo founder needs a single list of what is next.
  2. Use four states: Backlog, Next, Doing, Done. Cap "Doing" at two or three items.
  3. Do a weekly review. Archive stale ideas and pick next week's work.
  4. Add contractors to one project, not your whole workspace, using guest access where the plan allows it.
  5. Know your ceiling. Note which free limit applies to your tool (boards, issues, storage or blocks) and how close you are.

Frequently asked questions#

What is the best free project management tool for a solo founder?#

It depends on how you work. Trello Free suits a simple kanban board, with up to 10 boards and 10 collaborators per Workspace. Linear Free suits a software backlog until you pass 250 issues. Notion Free suits founders who plan in docs, and single-member Free workspaces get unlimited pages and blocks. ClickUp Free is the most generous on people, with unlimited members and guests.

Which project management tool is cheapest when I add one contractor?#

On free plans, Trello (up to 10 collaborators), ClickUp (unlimited members and guests), Linear (unlimited members, up to 250 issues) and Plane (up to 12 users) can all take a contractor at $0. Asana Personal allows 2 users, so you plus one contractor fits exactly. Notion Free limits blocks once a workspace has 2 or more members, so invite the contractor as a page guest instead.

Do I need Linear or is GitHub Issues enough?#

If your backlog is mostly code and lives in one repository, GitHub Issues is free and usually enough. Linear earns its place when customer requests and planning cycles matter more. Our Linear vs GitHub Issues guide covers that decision in depth.

Is there an open source project management tool I can self-host?#

Plane is open source under the AGPL-3.0 licence and its pricing page says it can be self-hosted on your own infrastructure. Its cloud Free plan covers up to 12 users, and Pro is $6 per user per month billed annually. The pricing page does not say whether the 12-user cap applies to self-hosted installs.

Should I use Notion as my project management tool?#

If your work is mostly writing, research and launch planning, yes: a Notion database with a board view covers it and the Free plan is unlimited for one member. It is weaker for code-linked issue tracking and, on Free, file uploads are capped at 5 MB each and the workspace gets block-limited once you add a second member.

Ship it, then launch it#

A tidy board does not get you customers; shipping does. When the thing on your board is ready, launch it on ZeroRaised for free alongside other products built without VC money. For more practical guides for solo founders, join the ZeroRaised newsletter.
