A cold email tool sends personalised one-to-one emails and follow-ups to people who have not opted in to hear from you, from mailboxes you own, and stops the sequence when someone replies.

All figures are from the vendors' pricing pages on 6 Nov 2026. Apollo's prices come from the structured pricing data published on its pricing page.
1. Instantly: best for warmup across many mailboxes#
Instantly splits its pricing into outreach plans and a separate lead database. On the outreach side, the entry plan is Outreach Growth at $47/mo on monthly billing, or $37.60/mo billed yearly. It includes unlimited email accounts, unlimited email warmup, 1,000 uploaded contacts, 5,000 emails a month and chat support (Instantly).
The next step up is Hypergrowth at $107/mo ($85.58/mo yearly), which raises the limits to 25,000 uploaded contacts and 125,000 emails a month and adds premium live support and a built-in CRM and unified inbox (Instantly calls it Unibox).
If you want prospects from Instantly too, the lead database is a separate purchase: Credits Growth is $47/mo, giving access to a database Instantly describes as 450M+ B2B leads with 1,500 Instantly credits.
Why pick it: unlimited mailboxes and unlimited warmup on the entry plan mean you can add a second or third sending address without paying more for the tool. Watch out for: the 1,000 uploaded contact cap on Outreach Growth. If you plan to upload a large list, check whether that limit fits before you commit.
2. Smartlead: best value for volume#
Smartlead's Base plan is $39/mo monthly, or $32/mo yearly, for 2,000 contacts and 6,000 email sends. Its FAQ says all plans include unlimited email accounts, there is a free trial with no credit card required, annual billing saves 17% and you can cancel anytime (Smartlead).
For founders who need prospect data, a Verified Prospect Emails add-on costs $59/mo on Base or Pro. Pro is $94/mo ($78 yearly) for 30,000 contacts and 90,000 sends. Unlimited Smart at $174/mo ($144 yearly) adds unlimited contacts, 150,000 sends and 50,000 verified emails free.
Why pick it: the lowest-priced entry plan of the multi-mailbox senders we checked, plus a no-card trial so you can test deliverability before paying. Watch out for: if you also buy the prospect add-on, Base plus the add-on costs more than Instantly Outreach Growth on its own, so compare the total you will actually pay.
3. Mailshake: best for one founder and one mailbox#
Mailshake's Starter plan is $29/mo monthly, or $25/mo yearly. It covers one email address, 1,500 sends a month and unlimited uploaded contacts, with unlimited warmup and verification included (Mailshake).
Email Outreach is $49/mo ($45 yearly) for two email addresses and unlimited sends, and Sales Engagement is $99/mo ($85 yearly) for ten email addresses. Mailshake's FAQ says there is no free trial, payment is taken up front, you can cancel before renewal, and billing is per user or team.
Why pick it: the cheapest paid entry point we found, and the simplest model to understand if you are a single person sending from one address. Verification and warmup are included, so you do not need a separate verifier to start. Watch out for: no trial, and the Starter plan is tied to one email address. If you want to spread sending across several mailboxes, Smartlead or Instantly fit better.
4. Hunter: best for finding the right person at a known company#
Hunter is best known for finding and verifying email addresses, and it now includes sequences on its plans. The Free plan is $0 and gives 50 credits a month, one connected email account, 500 recipients per sequence and unlimited team members (Hunter).
Starter is $49/mo monthly ($34/mo billed yearly) for 2,000 credits a month and three email accounts. Growth is $149/mo ($104 yearly) for 10,000 credits and ten accounts, and Scale is $299/mo ($209 yearly) for 25,000 credits and 20 accounts. Credits are spent on Email Finder, Email Verifier and Domain Search, and a verification costs 0.5 credit.
Why pick it: if your first customers come from a hand-built list of 30 to 100 named companies, Hunter's finder and verifier do exactly the job you need, and the free plan may be enough for the first month. Watch out for: credits, not emails, are the limit. Plan how many lookups and verifications you need before choosing a tier.
5. Apollo: best for prospect search and sequences in one place#
Apollo combines a B2B contact database with email sequences. Its pricing page publishes a Free plan at $0, a Basic plan at $49/month and a Professional plan at $99/month in its structured pricing data (Apollo). There is also a Custom plan for enterprise teams.
Apollo's FAQ describes Free as suited to exploring and light usage, Basic to individual sellers who need sequencing, and Professional to users who need more credits, AI features and call recording. It says the free plan stays free with no time limit after a trial, that credits are pooled and do not roll over, and that email campaigns are included on every account. Free plans can connect Gmail only; paid plans can also connect Microsoft and other providers.
Why pick it: if you are still working out who to contact, searching a database by role, company size and industry is faster than building a list by hand. Watch out for: credits do not roll over, so unused monthly credits are lost.
Woodpecker: worth a look, check current prices#
Woodpecker is another established cold email tool. Its pricing page lists a 14-day free trial with all features and no credit card, unlimited contact storage, unlimited email verification, three warm-ups included and unlimited email accounts (Woodpecker). Dollar amounts did not render clearly when we checked, so we have not quoted them. See Woodpecker's pricing page for current plans before you compare it with the five tools above.
Mailboxes: Google Workspace for sending#
Your cold email tool sends through mailboxes you own. For most founders, that means Google Workspace. Business Starter is listed at $7 per user per month (USD) and includes custom business email. The page footnote also shows a promotional price of $3.50 per user per month for new customers, for the first 20 users and 12 months (Google Workspace).
Each sending address is a user, so two mailboxes cost two seats.
How to set up a cold email stack that lands in the inbox#
The tool you choose matters less than how you set it up. This is the order we recommend.
Step 1: Buy a secondary sending domain#
Do not send cold email from the domain your customers use. If your cold campaigns damage its reputation, invoices, password resets and support replies can start landing in spam. Buy a second domain that is obviously related to your brand, so a recipient who checks it recognises you, and redirect its website to your main site.
Step 2: Set up mailboxes and authentication#
Create one or two Google Workspace mailboxes on the new domain under real names. Set up SPF, DKIM and DMARC records using your provider's instructions, and add a simple signature with your name, company and a way to opt out. Then connect the mailboxes to your sending tool.
Step 3: Warm up before you send#
Warmup gradually builds normal-looking sending activity on a new mailbox before real campaigns start. Instantly includes unlimited warmup, Mailshake includes unlimited warmup, and Woodpecker lists three warm-ups. Turn it on as soon as a mailbox is connected and leave it running. We are not going to give you a magic per-day sending number. There is no universal safe limit, so start low, watch your bounce and spam signals, and increase slowly.
Step 4: Verify every list#
Bounces hurt your sender reputation. Run every list through a verifier before it goes into a campaign. Mailshake and Woodpecker include unlimited verification, Hunter charges 0.5 credit per verification, and Smartlead's higher plans bundle verified emails. Remove anything the verifier flags as invalid or risky.
Step 5: Write for one person, then follow up#
Short, specific, plain-text emails to named people work better than templates sent to everyone. Reference something real about their business, ask one clear question, and stop the sequence when they reply. Our founder-led sales strategy has a full section on writing outreach a busy buyer answers and following up without being a pest.
Step 6: Respect the rules and the opt-outs#
Identify yourself honestly, include a way to opt out, honour every unsubscribe immediately, and check the cold email rules in your recipients' countries.
Which stack should you start with?#
- One founder, one mailbox, tight budget: Mailshake Starter plus Hunter Free. The total starts at $29/mo plus one Google Workspace seat.
- Several mailboxes, want a trial first: Smartlead Base plus Hunter Free. Test it on the no-card trial before paying $39/mo.
- Want warmup and mailboxes handled in one place: Instantly Outreach Growth at $47/mo, adding Credits Growth only if you need its lead database.
- Do not know who to target yet: Apollo Free to explore the database, then Basic at $49/month once you are sequencing every week.
Whatever you pick, start with monthly billing. Annual plans save money (Smartlead says 17%), but only once you know cold email works for your product.

Frequently asked questions#
What is the cheapest cold email tool for a bootstrapped founder?#
Of the paid sending plans we checked on 6 Nov 2026, Mailshake Starter is the lowest at $29/mo monthly ($25 yearly) for one email address and 1,500 sends a month. Smartlead Base is $39/mo ($32 yearly) and Instantly Outreach Growth is $47/mo ($37.60 yearly). Hunter Free and Apollo's free plan cost $0 if you only need to find emails and send light sequences.
Can I send cold email from my main business domain?#
You can, but we would not. If your cold campaigns hurt your sender reputation, your invoices, password resets and customer replies can start landing in spam too. Buy a secondary domain that is clearly related to your brand, set up mailboxes on it and keep your main domain for customers.
Do I need a separate tool to find email addresses?#
Not always. Instantly sells a separate lead database plan, Smartlead has a verified prospect emails add-on, and Apollo and Hunter combine finding emails with sequences. If you already know who you want to contact, a finder such as Hunter's free plan is often enough to start.
What is email warmup and do I need it?#
Warmup means building up sending activity on a new mailbox gradually before you run real campaigns, so mailbox providers see normal behaviour first. Instantly includes unlimited warmup on its plans, Mailshake includes unlimited warmup and verification, and Woodpecker lists 3 warm-ups included. We recommend warming any new mailbox before cold outreach.
Is Apollo or Hunter better for a solo founder?#
Apollo suits founders who want a large prospect database plus sequencing in one place, with Basic at $49/month and Professional at $99/month in its pricing data. Hunter suits founders who already know which companies to target and want to find and verify the right address, with a free plan of 50 credits a month and Starter at $49/mo monthly ($34 yearly).
